A document may appear in Teams, a browser and a synced folder while still being the same file. Several separately saved copies create a different problem. Establishing which file people are using is the first useful check.
Our Perth based team can review Microsoft file environments remotely across Australia. Separate SharePoint and OneDrive services are available when the problem is confined to one area.
Follow a document through the team
Choose a file that regularly causes confusion. Record where it was created, who shares it and how other people open it. A link, local shortcut and downloaded attachment can look similar while behaving differently.
That evidence helps distinguish a structure problem from a device fault without immediately moving the whole document library.
Separate team records from individual work
Microsoft provides shared libraries in SharePoint and individual libraries in OneDrive. Files used by the business need an ownership arrangement that will remain clear when someone leaves.
We review your current structure and propose changes around the people who use it. A folder tidy up needs agreement on records and access first.
Review sharing against the intended audience
A person may need access to a whole project or only one document. External recipients and former contractors also need consideration. We check the permissions that apply to the actual file.
The review should explain who can approve sharing and how access is removed. Broad links should have an agreed reason.
Investigate sync before moving or deleting files
We compare the browser copy with the affected device and check account, storage and error details. A sync fault should not lead to deleting the only usable copy.
Some local changes may not have reached the service. We establish their status before resetting a client or replacing a device.
Plan any move with a sample first
A larger restructuring can affect links, permissions and connected apps. We identify those dependencies and agree on what moves. A small sample lets users check the proposed arrangement.
The plan should cover the changeover and where retained records will be available. Copying data is only part of a useful migration.
Document where the next file belongs
A handover should explain the structure in terms staff can use. Include how to create a shared record, invite an authorised person and ask for an access change.
Recovery and separate backup requirements need their own review. Sync and version history should not be treated as evidence that every recovery scenario is covered.
