A document is on the laptop but missing in the browser. Another computer shows an older copy. The first question is where the latest work exists, before anyone resets the sync client or deletes a folder.
A Dark Cloud Creative provides OneDrive help from Perth and remotely across Australia. We agree on the affected account, devices and investigation before making changes.
Find the copy that contains the current work
Choose an affected file and compare its location, modified date and contents through an agreed method. Establish whether recent local work has reached the service. File names alone may not identify the latest version.
We protect access to that work before changing the client. A reset should not be the first response to an unexplained sync error.
Check the account and device conditions
A personal account and a business account can both appear on a device. Confirm which one holds the required records. Storage limits, client status and the reported error also provide useful evidence.
The investigation should distinguish one device’s fault from a wider account issue. Tell us whether other authorised devices or the browser work normally.
Separate sync access from sharing permissions
A file that appears on one device may still be unavailable to another person. Their access and the link they use need separate checks. The sync app is not an alternative to the correct permission.
We inspect the intended recipient and sharing arrangement before broadening access. Temporary project access should have a clear owner and end point.
Move team records to an agreed home
OneDrive gives a user an individual library. Records the whole business relies on may need a shared SharePoint location with organisational ownership. Moving them requires an access and link review.
We can scope that change separately from the immediate fault. Staff should understand where future work belongs so the same issue does not return.
Prepare for a new device or departing employee
Identify required files, sync status and recovery access before replacing a laptop or removing an account. The business should decide which records it needs to retain.
A device handover should check that the person can reach the correct library and complete ordinary work. Account deletion needs its own approved retention decision.
Record the result and recovery gaps
The handover should say what caused the fault where established, what changed and which file checks passed. Record any local work still needing attention.
Version history and sync have particular limits. If the business needs a separate recoverable copy or an agreed restore test, backup and recovery work can be scoped alongside the file environment.
