Staff record job details in a spreadsheet because the existing form is awkward. An app can give that work a better interface, but the records and decisions behind it still need to make sense.
We offer a Perth based starting point for Power Apps projects, with remote help across Australia. Specialist development is agreed where the build requires it.
Understand the task before drawing screens
Describe who uses the app and the work they need to complete. Job capture, an internal register and an approval interface require different decisions and data. A recent example helps establish the fields and exceptions.
The brief should identify what must become easier or more consistent. An attractive form alone is not evidence that the process has improved.
Choose a data source the business can maintain
Power Apps can connect to Microsoft and other supported data sources. We inspect existing records and ownership before suggesting where the app should store its information.
Agree on required fields, corrections and duplicate handling. An app should not conceal inconsistent data or make it difficult to understand which record is authoritative.
Review permissions beyond the visible screen
A hidden button does not establish that a person lacks access to the underlying information. The data and environment need their own permissions review.
We define the intended user roles and check relevant access using appropriate test accounts. Staff should be able to complete their task without receiving unrelated business records.
Check licensing for the actual design
Users, features and data connections affect Power Apps use rights and costs. Some Microsoft 365 subscriptions provide limited rights, which are different from a general entitlement to every app design.
The feasibility review should explain additional licences or capacity before the business commits to implementation. Recurring costs belong beside the build estimate.
Test with staff and ordinary imperfect records
Staff should try the task using realistic examples. Check missing information, failed saves and the devices they normally use. Define a clear result for each acceptance check.
For an existing app, record the fault and verify the corrected behaviour. Larger custom builds can be discussed with VibeZero, with responsibility agreed before development.
Keep the app usable when its author leaves
The handover should name the environment, accounts and data owner. Include how changes are approved and how users report a fault. Important knowledge should not remain in one employee’s personal notes.
Ongoing maintenance is a separate agreement. The business should know how to recover its solution and withdraw or replace access without losing required records.
