# Software audit and licence review

[Read the public page](https://www.adarkcloud.com.au/services/software-optimisation)

A software audit of the subscriptions your business pays for and how the team uses them. Find unused licences, overlapping tools and awkward handovers.

A software audit checks whether the tools and subscriptions you pay for still serve the work. We map usage, ownership, renewal dates and recurring costs, then recommend what to keep, configure, cancel or replace, with any savings worked out from your actual bills.

## What we can help with

- Subscription and licence inventory
- Workflow and duplication review
- Practical options and priorities
- Change and handover planning

The business may pay for several tools that overlap while staff still copy information between them. A useful software review starts with the work and verified subscriptions rather than a promise of a particular percentage saving.

We can map the current products, costs and handovers. The result should help you decide what to keep, configure, cancel or investigate further, with the consequences of each change made clear.

## Look at the work around the subscription

An unused licence may be a quick correction. A customer system that staff avoid could have a training or configuration problem. Two overlapping products may both be needed because another process depends on them.

Use actual bills, renewal dates and a recent job to show how the tools are used. That makes the review more useful than a list of app names or a comparison of advertised plan prices.

## Start with the work and the bills

List the tools, renewal dates, account owners and users. Then look at the tasks each product handles. An unused subscription is different from a product that people avoid because it is poorly configured.

We can help gather the evidence and separate quick corrections from larger changes. Savings should be calculated from verified bills, not assumed percentages.

## Check what a change would affect

A tool may connect to accounting, reporting or a customer process. Cancelling it without checking those dependencies can interrupt the business. Review exports, retention and integrations before changing subscriptions.

Replacing software also carries a migration and training cost. The proposal should account for that work before claiming a cheaper monthly plan is better.

## Make a short, owned action list

A useful review ends with decisions, owners and timing. Some work may be configuration or licence cleanup. Other work may need process design or an integration project. We agree on each scope before implementation.

## Keep, configure or replace

Before cancelling a product, check the records it holds, export options and connected systems. Decide how retained information will remain accessible and who needs to approve the change.

A replacement also needs migration, training and support. The comparison should include those costs and the business interruption involved. Sometimes the useful result is a simpler configuration in the product you already own.

## What the handover should include

The agreed output can include a subscription register, dependency notes and a short action list with owners. Recommendations should distinguish verified savings from options that need further review.

Implementation is scoped separately where it changes access, data or a business process. The business should know which renewals require a decision and by when.

## Common questions

### Can you guarantee a saving?

No. A review may find unnecessary cost, or it may show that the current tools need better configuration. Recommendations follow the evidence.

### Can you help with a broken app as well?

Yes, where it is within scope. Troubleshooting a current fault is handled as application support rather than a broad software review.

### Can you review Microsoft and Google subscriptions?

We can include the business subscriptions in scope and check how they are used. Licence changes should account for data and connected features.

### Will you cancel products for us?

A cancellation needs an agreed decision, authority and a plan for records and dependencies. A review recommendation alone is not an instruction to cancel.

### What information helps with the review?

A list of products, current bills, renewal dates and account owners is useful. Add a description of the tasks each product supports and where staff still do manual work.

### What does a software audit cost?

Audits are charged from $79 an hour ex GST. The quote is based on the number of tools and people involved, and you'll know it before work starts.
