# Business app integrations

Connect business tools with an agreed scope for data, permissions, failures and ongoing ownership.

An application integration transfers agreed information between systems. A useful plan covers the trigger, data mapping, access, error handling and the person responsible when a transfer fails.

## What we can help with

- System and data flow review
- Integration scope and requirements
- Access and failure handling
- Testing and operational handover

A connection between apps needs to do more than move a sample record. It must handle the records the business actually uses and give someone a way to detect and resolve failures.

We can review the requirement, available interfaces and ownership. The initial scope should establish whether an existing connection suits the job or whether a specialist integration is needed.

## Describe the event and the record

A job is approved and should create a draft invoice. A form submission should create a customer record without duplicating an existing one. A booking changes and the next system needs the corrected time. These examples need different rules.

Name the trigger, source and destination, then identify the record that proves the transfer worked. Decide how missing fields, duplicates and later corrections should behave before the connection is built.

## Be precise about the information moving

Name the source, destination, trigger and records involved. Decide which system owns the current value and how duplicates or corrections will be handled. A connection that works once in a demo may still fail on a real exception.

We review the available interfaces and account permissions before promising a particular connection.

## Plan for failures and sensitive data

Decide what happens when one service is unavailable or returns an unexpected result. Errors need to be visible to a person who can act. Access should be limited to what the integration needs.

Customer information and financial records require deliberate handling. Testing should avoid accidental live actions such as duplicate messages or transactions.

## Give the integration an owner

The handover needs to explain credentials, dependencies, logs and renewal costs. Larger custom automation and AI integration projects can be discussed with VibeZero. We establish the scope and specialist needs before proposing implementation.

## Existing connector or custom integration

An existing connection can be useful when its supported fields and behaviour match the requirement. It may be unsuitable when the business needs a different approval, data rule or error handling process.

We check available interfaces, subscription requirements and access limits. A custom build adds maintenance responsibilities, so it needs a clear reason and operational owner. VibeZero is an option for larger specialist integration work.

## What the handover should include

The agreed output should describe the data mapping, triggers and permissions, along with test examples and known limitations. A person must know where failures appear and what action they should take.

The operational handover should also name account ownership, recurring services and the process for changing or stopping the integration.

## Common questions

### Can every pair of apps be connected?

No. Available interfaces, licences and vendor restrictions affect what is possible. We check those limits first.

### Is an integration a one time job?

The initial build may be a project, but interfaces, credentials and business processes can change. Agree on ongoing ownership and support.

### Can an integration create duplicate records?

Yes, if duplicate handling and retries are not designed appropriately. The scope should define how an existing record is recognised and what happens when a transfer is repeated.

### Who owns the integration accounts?

The business should retain ownership of the relevant accounts. Access and ongoing support responsibilities need to be explicit in the agreement.

### Can we start with a requirements review?

Yes. Reviewing the data flow and available interfaces can establish feasibility before a build is proposed.
