# AI and automation for small business

Work out where AI or automation could help your small business. Start with the task, data and safeguards before choosing tools.

AI and automation work starts by identifying a useful task and checking whether the technology is appropriate. A Dark Cloud Creative can help with the surrounding IT and initial scope. VibeZero offers a path for specialist AI and automation work.

## What we can help with

- Task and readiness review
- Accounts, permissions and data preparation
- Tool and integration requirements
- Specialist project scoping

The useful starting point is a piece of work that takes too much time and has a result someone can check. Buying an AI subscription before defining that task can leave the business paying for another experiment.

A Dark Cloud Creative can help with the initial scope and the accounts, data and IT around it. VibeZero provides a path for specialist AI integration and larger automation engagements. The boundary between those responsibilities is agreed with the project.

## Choose a task with a visible result

Drafting an internal summary from approved notes is a different proposition from letting a system change customer records. Sorting an enquiry by an explicit rule may not need AI at all. The consequences and available evidence affect the design.

Start with a recent example, the inputs used and the person who checks the output. If the business cannot explain a correct result, the pilot needs more definition before a tool is selected.

## Choose one useful task

Describe the repeated work, the person doing it and the result they need. Consider whether a simple rule, a better form or a changed process would solve it before introducing AI. A task with unclear inputs or no way to check the output is a poor starting point.

An initial strategy should identify a specific opportunity, constraints and a small test rather than a list of products to buy.

## Prepare the environment and safeguards

Check where the data lives, who can access it and what may be shared with a provider. Business accounts, file permissions and a documented usage rule should be in place before staff connect sensitive records.

AI output needs review appropriate to the task. A draft document is different from a system taking action on a customer account.

## Scope a pilot before a wider rollout

Agree on the test data, expected result and evidence needed to continue. Record the cost, human review and failure handling. If the work needs custom AI integration, agents or a broader automation project, discuss the specialist scope with VibeZero.

The business should know who owns the workflow and how to stop or change it.

## A rule, a better process or an AI tool

A fixed rule is often more predictable when the decision can be stated directly. AI may be useful when a task involves language or material that varies, but its output still needs an appropriate check.

We review data access, provider settings and the actions the system would be allowed to take. A small pilot should have a clear continuation decision. The business needs evidence of useful work, not a demonstration that simply produces fluent text.

## What the handover should include

The initial output can include a task brief, readiness gaps and a pilot scope. It should identify approved data, review requirements and who owns the result.

A specialist build should document connected services, cost and failure handling. The business also needs a way to stop the workflow, withdraw access and change the process as its needs evolve.

## Common questions

### Can you help us decide where to start?

Yes. Start with one task, its inputs and the person who checks the result. We can review the IT prerequisites and discuss the appropriate project scope.

### Will AI replace the need to check work?

No. The level of review depends on the task and consequences. Important decisions and live actions need deliberate controls.

### Do we need a custom AI agent?

That depends on the task. A standard tool, explicit automation rule or process change may be more suitable. A custom agent needs a reason and a scope that accounts for its actions.

### Can you connect AI to our existing business apps?

We can review the requirement and IT prerequisites. The available interfaces, permissions and data rules affect feasibility, and larger specialist builds can be discussed with VibeZero.

### How do we know a pilot is useful?

Agree on the task, test examples and a result the business can check. Include review effort and operating cost when deciding whether to continue.
