Compare Microsoft 365 with your current tools based on email, files, apps and administration. A migration needs a reason and a plan.

A move to Microsoft 365 makes sense when its capabilities fit your business and the benefits justify the migration. Compare the actual work, licences and administration with your existing tools. There is no need to move simply because another business has.

## Begin with the problem to solve

Record what the current setup makes difficult. Shared files, inconsistent account ownership or desktop application needs may be useful reasons to review it. A product change will not automatically fix an unclear process.

This article does not claim a measured trend in Perth adoption. The useful decision is whether the platform fits your business.

## Compare the work, not only the feature list

List the tasks each person needs to complete and the applications involved. Check desktop and browser requirements, shared access and outside collaboration. Compare Microsoft 365 and Google Workspace against those tasks.

A feature that nobody uses is not a benefit on its own. Include the effort needed to configure and maintain the environment.

## Account for recurring and transition costs

Use current local quotes for the exact plans and commitment terms. Include support, data movement and staff handover alongside the software subscription. Existing subscriptions may need a transition period before cancellation.

A cheaper headline plan can create more work if it lacks a capability the team relies on. Verify those dependencies before changing.

## Plan data and access

Inventory mailboxes, calendars and files. Decide what moves and how staff will use it afterwards. Confirm domain and administrator access before scheduling the change.

Permissions and recovery arrangements should be addressed during setup. Moving poorly organised files without a plan can carry the same confusion into a new system.

## Make the decision explicit

Record the reason to move, the scope and the checks required before retiring the old environment. If the review shows that the current tools fit, improving their configuration may be the better result.

A Dark Cloud Creative can help scope Microsoft 365 or Google Workspace support around the environment you choose.

## When might staying with the current tools be sensible?

If the team can do its work, the accounts are business controlled and support responsibilities are clear, the useful project may be improving the existing setup. A product migration introduces data movement, staff changes and administration work that need a reason.

Compare the specific pain with the likely result. Poor file naming and unclear approval steps can persist in either Microsoft 365 or Google Workspace. Fixing the process may deliver more value than changing the logo on the sign in screen.

## What should a comparison test include?

Use ordinary business tasks rather than a demonstration built for the software. Try a shared document, a customer appointment, the accounting workflow and any required desktop application. Include collaboration with people outside the business.

Record what succeeds, what requires a workaround and who will maintain it. Check the current licence entitlement for each requirement. The result should support a decision to move, stay or investigate a specific gap before buying a subscription.
