Plan Microsoft 365 around your domain, users, email and shared files. Keep administrator access, licences and recovery clear.

A useful Microsoft 365 setup starts with domain ownership, business controlled administration and the people who need access. Choose licences for the actual work, configure email and shared files, then verify the tasks the team needs to complete.

## Own the domain and administration

Know where the domain is registered and who can change its records. The business should retain ownership and recovery access even if a supplier manages it. Use a suitable method for granting administrative access.

Microsoft’s setup guidance identifies domain access as part of preparing business email. An account at the wrong registrar is not enough to make the required changes.

## Choose accounts and licences deliberately

List the people who need email, desktop apps or other capabilities. Shared addresses should have a defined purpose and access model. Check current plan features and pricing before buying.

A plan name is not a complete design. Document the services in use and any additional licences required by a security or workflow requirement.

## Plan the mail change

If the business already has email, inventory its mailboxes, calendars and other senders. Prepare the destination and migration scope before changing routing. Check website forms, accounting notifications and mobile devices.

For a new setup, verify sending and receiving and record the domain configuration. Keep account recovery separate from the ordinary daily login where appropriate.

## Organise files and access

Decide where individual work belongs and where the team keeps shared records. Give shared libraries owners and a simple access model. Explain the structure to staff before moving everything into it.

Review authentication, sharing and backup requirements in the same plan. Those decisions affect whether the environment remains manageable as the team changes.

## Finish with a working handover

Check that people can sign in, send email, join a meeting and find the files they need. Record administrators, subscriptions, recovery details and maintenance responsibilities.

A small setup can be simple. It still needs clear ownership and evidence that the everyday tasks work. Ask for scoped support if those checks expose gaps.

## Where should shared business files live?

Begin with who needs access and who owns the records. Personal working files and team records have different responsibilities. Give shared information a deliberate home with an owner, a simple naming approach and permissions that fit the work.

Try a normal task before moving the whole folder structure. Ask a staff member to find a current document, edit it and share it through the approved route. If the design needs a long explanation for each routine task, simplify it before rollout.

## What does a useful setup record contain?

Keep the domain registrar, administrator ownership, assigned licences and agreed services in a business controlled register. Record where staff keep files and who approves new access. Recovery instructions need to be available when the ordinary sign in route is unavailable.

The handover should include the tests completed and remaining work, such as a device needing an update or a website sender needing configuration. Setup is complete when the agreed tasks work and the business can understand the responsibilities that continue afterwards.
